Case study · Church check-in system

Every family,
known by name.

Cada familia, conocida por su nombre.

A bilingual check-in system built for a church in Puerto Rico. Families check in with a phone number. Visitors are welcomed, and welcomed back. The pastor knows who's missing before they drift away.

What it does

An order of service,
for the front door.

Nothing they could buy fit how this church runs. So we built it around their services, their two languages and their people.

Orden del día

Sunday, at the door

  1. The welcomeQR sign or tablet

Families scan at the entrance or tap the tablet. Phone number or email, nothing to download.

  2. The familyFound together

One number brings up the whole household. Tap who's here, and everyone is counted.

  3. The newcomerGreeters alerted

First-time visitors register in a minute. The greeting team gets an email so someone can find them before the service.

  4. The fourth visitA personal welcome

When a visitor comes back a fourth time, the system says so. That's the moment to invite them in.

  5. The missingFlagged at 2 weeks

Members absent more than two weeks show up on the pastor's list, so nobody quietly drifts away.

  6. The reportEvery Monday

Attendance, visitors and trends, emailed in English and Spanish. No one types it up anymore.

Yours to keep

The church owns
every name.

  • Your own Google Sheet

The member list lives in a spreadsheet the church owns. Open it, edit it, export it any time.

  • Your own email

Greeter alerts and weekly reports go out from the church's account, not mine.

  • A staff PIN

Signage, manual reports and the member list stay behind a PIN. Staff update a family's phone, email or address right on the tablet. No spreadsheet to open.

Why it matters

After Maria,
nobody knew
who needed help.

When Hurricane Maria hit Puerto Rico, the church had no reliable way to know which elderly members needed help, or who to call.

Now every family has an emergency contact on record. The people who might need a knock on the door are one list away.

In their words

From the
pastors.

Iglesia Evangelio de Amor runs it every Sunday. Their words, in their language first.

"The new check-in system Miriam designed lets us register and welcome our visitors far faster. It also gives us data and statistics on visitors we had no visibility into before."

El sistema de check-in de Miriam es una excelente herramienta que nos está facilitando el identificar quiénes nos visitan los domingos.

"Miriam's check-in system is an excellent tool. It is making it much easier for us to identify who visits us on Sundays."

Questions churches ask

Before
Sunday.

How does church check-in work?

Families scan a QR code at the entrance or use a tablet, type their phone number or email, and the system finds their family. They tap who's present and they're checked in. First-time visitors register in under a minute and the greeting team is alerted.

Is it bilingual?

Yes. Every screen, email and report is in English and Spanish.

Who owns the church's data?

The church does. The member list lives in the church's own Google Sheet and reports go out from the church's own email account. Nothing is locked to us.

How is it different from church management software?

The platforms this church evaluated cost $8,000 or more and still couldn't produce bilingual reports or group families together. This system is built around how your church actually runs: your services, your languages, your schedule.

Does it work for groups other than churches?

Yes. Any group that welcomes members and guests, like schools, clubs, gyms, nonprofits and events, can use the same check-in, follow-up and reports.
